Privacy Policy
This policy describes how we collect, use, share, and process information when you use the TitleChex website and mobile application (together, the “Service”).
Third-party artificial intelligence processing
To analyze vehicle titles, TitleChex transmits the title images you upload or capture to our backend in the United States, and—in order to extract text from those images and perform structured document analysis—we send those images or derived content to Anthropic, PBC (“Anthropic”) via its Claude API.
- Personal data categories involved. Title images often contain identifiers visible on paper or digital titles, including but not limited to name, postal address, VIN or other identifying numbers, lienholder fields, vehicle description, barcodes/text, signatures, photos, dates, issuing state, mileage, etc. We transmit and process whatever appears in the documents you choose to submit.
- Purpose. To perform OCR, interpret document structure, support fraud/tamper checks consistent with the product, and return results to you in the app.
- Legal relationship. Anthropic processes such data on our instructions as a service provider / processor in connection with our agreement with Anthropic. We require appropriate confidentiality and security obligations. Anthropic’s own policies and terms also apply to their API service.
- Your control in the app. The TitleChex iOS app presents a clear notice and requires your affirmative consent before your title images are sent for this third-party AI analysis. You may decline; in that case you cannot use the scan feature that relies on this processing.
Information we collect
- Account data. When you create an account, we collect your name, email address, and optional referral or “how you heard about us” information. If you sign in with Google or Apple, we receive profile details that those providers share with us (for example, name and email), subject to your choices with those services.
- Title images. When you use TitleChex to analyze a vehicle title, you submit images of the document. We process these images to provide the Service and may store them for quality, security, and product improvement, as described in our practices.
- Authentication results. We store results of your title checks in your account so you can view history in the app.
- Payment information. On the website and on Android we use Stripe for payments. On the TitleChex iOS app, scan credit purchases may be processed by Apple through In‑App Purchase; Apple provides us with transaction identifiers needed to grant scan credits—we do not receive your full Apple account payment details. We do not store your full card number for Stripe checkout. Payment processors may provide us with limited billing-related identifiers and transaction records needed to deliver scan credits.
- Communications. If you contact us or we send transactional or product emails (for example, welcome, purchase receipts, or analysis reports), we process your email address and the content of those messages as appropriate.
- Technical data. We may collect standard server and device data such as IP address, app version, and timestamps, to secure the Service and troubleshoot issues.
How we use information
We use the information above to provide, maintain, and improve the Service; authenticate titles and generate results; process payments and fulfill scan credit purchases; send service-related and optional product emails where permitted; protect against fraud and abuse; and comply with law.
How we share information
We share information with service providers that help us run the Service, for example: cloud hosting and databases; email delivery; payments (including Stripe where used, and Apple as payment processor for eligible In‑App Purchases on iOS); document and image storage; Anthropic as described under “Third-party artificial intelligence processing” above for title image analysis; vehicle data sources (such as public or partner vehicle record databases) used to compare or verify information extracted from a title; and other infrastructure or security vendors. These providers are contractually or legally obligated to use data only to perform services for us, except as required by law or as stated in their respective terms when you interact with them directly.
We may also disclose information if we believe in good faith that disclosure is required by law, to protect rights or safety, or in connection with a business transfer (for example, a merger), subject to applicable law.
Data retention
We retain information for as long as your account is active and as needed to provide the Service, meet legal or accounting obligations, resolve disputes, and enforce our agreements. Retention periods may vary by data type and legal requirements.
Your choices
- You may request access, correction, or deletion of your personal information, subject to law and our need to retain certain records.
- Where required by law, you may have additional rights (for example, opt-out of certain processing or appeal a decision). Contact us to exercise these rights.
Children
The Service is not directed at children under 13, and we do not knowingly collect personal information from children under 13. If you believe we have collected such information, contact us and we will take appropriate steps to delete it.
International users
If you use the Service from outside the United States, you understand that your information may be processed in the United States and other countries where we or our providers operate.
Changes
We may update this policy from time to time. The “Last updated” date at the top will change when we do. We encourage you to review this page periodically.
